Check-in / out Procedures

All days run between 8:30am and 4:00pm with sign in beginning at 8:30am and finishing by 9:30am. If you’re running late though, that’s not a problem! It is important that you do not drop off your children before 8:30am and ensure they are picked up before 4:10pm. If you would like your child to walk home or if they will be collected by someone else, please let the Duck and Turtle facilitators know at drop off. 

If you are running late to collect your child at the end of the session, it is expected that you call Duck and Turtle on 0498 354 577 to update staff on your arrival time. 

Activities and Sports

Session will be a combination of facilitated free choice sports, organised team games and other fitness-based activities. Children will be engaging in a range of physical activities throughout the day and by sending your child to Duck and Turtle Fitness you are ensuring they are physically able to participate in such activities.

Registration and Payment

All bookings can be made through the website duckandturtlefitness.com.au with payments available via online transfer and PayPal, prior to the event. Children from other schools are more than welcome to register to attend our sessions, and in fact we encourage it!

Cancellation Policy

A full refund will be offered for cancellations up to 24 hours prior to commencement of each days session. In fairness to other participants that may be on a waiting list, cancellation later than this will incur a 50% fee of that days payment. In the case a session is cancelled due to any reason on our part then a full refund for that day will be returned. 

Medical Procedure

A medical and permission form will need to be completed online by a parent or guardian prior to the first session. Any medication needs to be handed to staff at sign in. Please supply medication in a clearly named zip lock bag or similar. Medication should be in its original packaging and clearly labelled with the student's name, correct dosage and frequency. Medication provided to staff must align with the medical information we have with your child’s registration. 

First Aid Procedure

All of our facilitators are qualified First Aiders and will treat minor injuries to the best of their training during programs. If a child falls ill during the program the child will be supervised by a qualified First Aider until the child recovers or until the parent/caregiver arrives to collect the child. If the child is suffering from vomiting or diarrhoea, the authorised adult will be asked to collect the child immediately. If a serious injury or incident occurs, emergency First Aid will be provided by a qualified First Aider, with emergency services contacted if necessary. Notice of the incident will be given to the parent/caregiver as soon as practicably possible and information of any treatment, services or arrangements which have been made.

COVID-19

If your child tests positive to Covid and would have been infectious whilst at the program, you must notify Duck and Turtle School Holiday Fitness immediately on 0498 354 577. Parents will be notified by email if there has been a positive case at the program of either a child or staff member.

Sun Safe Policy

No child will be able to participate in any sporting activity in the direct sun unless they are wearing a hat and have applied sunscreen. It is the parent/guardians responsibility to ensure adequate sunscreen has been applied prior to drop off in the morning and we will ensure sunscreen is reapplied during break times throughout the day to avoid sunburn.

Inclement Weather

Duck & Turtle has a number of indoor venues that can be utilised so all programs will continue to go ahead despite inclement weather. If the scheduled weather is expected to be over 35 degrees, or in the case of other inclement weather then the clinics for that day will be modified to include more suitable indoor activities and extra rest periods and drink stops. All activities will take place indoors once the temperature for the day exceeds 35 degrees.

Food and Snacks

Each parent/guardian is required to supply their child’s recess, lunch and snacks along with a filled water bottle. We recommend packing a larger than normal lunch, due to all the physical activity we do, children tend to be a little bit hungrier than usual! Please ensure that you child’s food is adequately stored for the duration of the day. Please do not pack any products that contain nuts. Please assist us to protect children who may have a severe allergy by checking the ingredients in the products you pack in your child’s lunch.

School Policies

Duck and Turtle abide by the overarching policies of the school in which they are operating including the use of mobile phones during the session outside of pre-arranged usage as well as behavioural expectations. 

Children with Varying Needs

We welcome all children at our program. Any parent/guardian registering a child with specific learning or behavioural difficulties must provide Duck and Turtle with information relating to their needs which are relevant to the successful inclusion of the child into the program. This may include a behavioural plan or conversation with a director prior to the day of the session.

Duck and Turtle reserve the right to prohibit any child from participating in further activity if their behaviour is deemed to be unsafe, inappropriate or poses a risk to any other participant. Further sessions may also be cancelled for that child if an agreement cannot be reached between the caregiver, child and session facilitators. 

Clothing Requirements

Please ensure your child wears sports appropriate clothing, including sport shoes. Along with a hat and sunscreen. Please ensure your child has applied sunscreen in the morning. We strongly recommend T–shirts that cover shoulders and have a collar and a hat. Whilst we make every effort to provide sunscreen, it is always a good idea to pack a personal supply with your child. Pack a spare change of clothes (including shoes where possible), in the unlikely chance we do get caught in the rain or the surface we play on is wet. Shoes with studs or spikes are not acceptable.

Coach: Child Ratio

Duck and Turtle is insured for a ration of 1:20 coaches to students with additional support employed where required on a needs basis. This ratio is often lower due to the want for all children to get the most out of their time with us. 

Childcare Benefits and Subsidies 

Unfortunately, Duck and Turtle does not currently offer the Child Care Benefit or Child Care Rebate for the school holiday program. 

Personal Belongings

Duck and Turtle take no responsibility for the loss, damage, or conflict with other children over items of value brought from home. If your child would like to bring a quiet activity to use during break times, we are happy to facilitate a space for them to do so, but they do so at their own risk.
